Mission First: How to Build a Financial Strategy Around Your Purpose

In this episode, we talk about:

  • Why your mission should guide every financial decision

  • How to know when it's time to stop managing your books yourself

  • The difference between bookkeeping and strategic CFO support

  • The three types of business owners and which one you are

  • Why being proactive with your finances changes everything

Your numbers tell a story, but they're not the whole story. The real goal is building a business that makes room for the life you actually want to live.

Melissa Harman is my own fractional accountant and CFO. She is also someone I consider a friend. So I came in already knowing she is exceptional at what she does. But what I wanted to do in this conversation was pull back the curtain a little because I think most people hear "accounting" and immediately check out. And that is exactly the problem Melissa is trying to solve.

This episode is not really about accounting. It is about what your finances can actually look like when someone comes alongside you who genuinely cares about where you are going.

Why "Mission First"?

When most people see the name Mission First Advisory, they assume it is a nonprofit or a government contractor. It is neither and the name is actually the whole point.

"Mission First represents the reminder, for whatever your purpose, your values, whatever led you to create and start this business, that should be at the front of your financial decisions. Whatever the life you want to create, that is always being reminded because we as business owners get so busy focusing on one thing, and we forget our own." - Melissa

I remember one of my first real conversations with Melissa before I officially became her client. I was not pregnant yet. We were talking about wanting to have a baby, hoping to buy a house, and she actually cared about those things. Not just the business numbers, but what the business was meant to support. That is rare in a CPA/CFO, and it is exactly why Mission First is the perfect name for what she does.

Her goal is to make accounting feel less transactional because it is never just transactions…. It is your life.

Building a Business While Life Is Also Happening

Melissa is still working full-time in her corporate role while running Mission First Advisory. She also has two stepkids and a daughter, Lilly. So when I say she understands what it means to build a business in the margins of an already full life, she is not speaking theoretically.

She started with one client, liked it, and wanted more. She ended up getting pregnant and at the same time got larger clients. Started drowning and then did what most of us resist doing, she finally asked for help.

"I needed people who will take things from the very beginning and run with it. I can provide the vision, the guidance, the expertise… connecting with the client and knowing where they are. But actually implementing? I needed that help." - Melissa

She found two new team members who now run the accounting operations side of Mission First while Melissa stays in her zone: the relationships, the vision, the strategy. She even drops by a local client just to visit, no meeting needed. Because for Melissa, this business has always been about connection first.

When Is the Right Time to Hire a Financial Partner?

This is the question I hear the most and sounds like Melissa gets asked most. And honestly, the one I wondered about myself for a long time.

Melissa's answer is not what most people expect. It is not about hitting a certain revenue number or size of employees/business. It is about trust and needing a second set of eyes.

"It's more like, I have a goal and I want you to help me get there. I don't want it to feel transactional. It's always going to be, let's build this relationship and see where it goes." - Melissa

For me personally, the turning point was realizing I loved my VA but could not fully trust that what she was doing in the books was actually correct. I did not have the capacity to verify it and I had a big vision for where the business was going. I needed someone I could trust who was going to ask the right questions and actually look at the numbers.

And then in March, Melissa caught something I had completely missed. One of my clients who pays a couple thousand a month had quietly switched to paying by credit card (I literally had no idea that option had been activated) and the fees were adding up month over month. She caught it. I went in and turned off one little feature in Stripe. That one catch was worth roughly $3,000 a year.

"You need someone, an outsider, to look at it because you are so much into the details that you forget." - Melissa

Having that outside perspective changes everything. And it is not just accounting, this is true of anyone you bring onto your team.

Reactive, Integrative, or Proactive- Which One Are You?

This was my favorite part of the whole conversation. Melissa broke down the three types of entrepreneurs she sees, and I want you to read this in depth, because you will know immediately which one you are. How I describe below is specific to accounting/taxes, but know this is most likely who you are in most areas of your business!

Reactive - This is the tax season panic. The IRS letter. The person who reaches out in early April wondering if anyone can still help them. There is nothing wrong with being reactive. There are actually accountants who love these clients and specialize in exactly this, but it does come with a cost, usually financial and usually stressful.

Integrative - This person is looking at the whole ecosystem. Not just the finances, but the marketing, the operations, the team, the vision. They are asking how all of it works together to get to the next level. This is where I would put myself right now. Finally looking at the full picture and making decisions accordingly.

Proactive/Preventative - This is the person who does not even have their LLC filed yet, maybe not even clients, but they are already reaching out because they want to get it right from the start. Melissa got a call from exactly this person the morning we recorded. She had been a VP in sales for years, was starting her first business, and knew the financial side scared her. So, she reached out before she even had an EIN number.

"These types are all okay. I think you just need to know which one you are so that you can find your person to help." - Melissa

And if you are the reactive type specifically around taxes and accounting? Her advice: reach out now, in July. Tell them you know you always wait until the last minute, and ask if they can fit you in when March comes. They will remember you, and you will thank yourself later!

What About AI?

We could not have a business conversation in 2026 without talking about AI, and Melissa's take on it is something I keep coming back to.

Yes, AI can analyze your numbers. You can upload your bank statements and get a pretty spreadsheet back, but what AI cannot do is contextualize.

"Claude can maybe analyze the numbers, but then when it comes to understanding… I lost this client, but there's a plan to replace them with two others. Or I hired an employee, so yes, payroll taxes are more expensive right now… there's always a correlation. You need someone, an outsider, to look at it." - Melissa

The numbers only tell part of the story. A real financial partner knows the rest because they know you.
